How to Manage Announcement Folders?

Announcement folders are special shared folders provided by OSM that allow administrators to centrally publish announcements or make files available for download. Everyone in the organization or specific groups can read the contents, but cannot modify them.

Before You Begin

  • Make sure you have administrative permissions on the OSM platform.
  • Confirm the publisher account for the announcement folder (must be an existing user on the platform).
  • Plan the access scope of the announcement folder (either everyone or specific groups).
  • Announcement folders provide read/write permissions only to administrators; other users have read-only access.
  • The announcement folder icon is pinned inside the [Shared with Me] folder for easy identification by users.

Steps

Add a New Announcement Folder

  1. Log in to OSM.

  2. Go to Share Management > Announcement Folder > Announcement Folder Management.

  3. Click Add.

  4. Fill in:

    • Announcement Folder Name: The name users will see on the front end.

    • Publisher OmniStor ID: The account of the announcement folder administrator.

    • Set Announcement Permission Group: Choose "Select All" (open to all platform users) or "Custom" (designate specific permission groups).

  5. Click Save. The newly created announcement folder will be set to "Closed" by default.

Open or Close an Announcement Folder

In the announcement folder management list, toggle the Publish column between "Open" or "Closed" to control whether the folder is visible to users.

Delete an Announcement Folder

  1. Switch the announcement folder to "Closed" status first (you cannot delete a folder that is open).

  2. Click delete in the Delete column of the management list.
